Export your data

What each export file holds, what it leaves out and how to download your own files.

You can export your Zyflow data at any time, on every plan, including Free. Download six CSV files, or one JSON file with your records, documents, change history and links to every file. File contents download separately, from the Files page. Scripts can export the same files with an API key.

Zyflow is a lightweight small-business CRM your AI app keeps up to date (Claude, Cursor, ChatGPT Business, any MCP app). Every AI change is labeled.

How to export your data

Open Settings, then Import and export, under Data. In the Export card, choose “Everything (JSON)” for workspace.json, or one CSV: People, Companies, Deals, Follow-ups, Timeline or Memories. The file downloads right away, named after your workspace and today’s date.

  2. Under Data, choose Import and export.

  3. In the Export card, click “Everything (JSON)”, or one of the CSV buttons: People, Companies, Deals, Follow-ups, Timeline or Memories.

  4. Your browser saves the file, named like zyflow-your-business-2026-10-03.json.

The Export button on the Contacts and Companies pages saves the same CSV, with every row in the list even when a filter is on.

What’s in the export

The JSON file, workspace.json (format “zyflow-export/1”), holds your workspace settings, business profile, pipelines and custom fields. It also holds your contacts, companies, deals, follow-ups, timeline and current memories. Folders and file details come with download links, and invoices, quotes and other documents come with their line items. Your own templates are in it too, along with your change history: before and after values, up to 100,000 changes.

The six CSVs hold one type of data each. CSV is how most tools import and export CRM data, so use them to open your data in a spreadsheet or move it to another CRM.

“workspace” holds the name, country, currency, time zone, plan and date format. “business” includes Notes for your AI. Each document carries its line items, taxes, totals, amount paid, balance due and a PDF link.

CSV details

  • UTF-8 with a byte-order mark, so Excel shows accented names correctly.
  • Several emails or phones share a cell, split by semicolons. Tags are split by commas.
  • Custom fields are custom_<key> columns.
  • Timeline and memory rows link to records by ID. Match them to each file’s id column.

Change history

The history in workspace.json is the log behind History, with the raw before and after values the web app doesn’t show. Each change names the person or AI app, the channel and the tool or route, and says whether it was undone. Settings and security events are in it too, such as an AI app connecting or an API key being revoked. It holds up to 100,000 changes, oldest first, as far back as your plan keeps history.

For developers: each history entry has entityType, entityId, action, before, after, summary, actorKind, via, clientName, source, undoneAt and createdAt.

What the export doesn’t include

The export lists your files and folders by name, with each file’s size, the contact, company or deal it’s filed under and a download link, but not the file contents. Download the files from the Files page, or fetch each link with an API key.

The export leaves out:

  • File contents, including invoice and quote PDFs. There’s no zip download yet.
  • Anything in the trash. Bring it back first (see “Before you delete”).
  • Your team and roles, API keys and AI app connections.
  • History older than your plan keeps, and any changes past the first 100,000.
  • Archived facts, from workspace.json only. memories.csv has them.
  • A way to export a single customer.
  • Scheduled exports or automatic backups.

How to get your files out

Download files one at a time from the Files page, or fetch each file’s downloadUrl from workspace.json. The links work in a browser where you’re logged in to Zyflow, or with an API key for the same workspace. Document PDFs are in the file list too. The links stop working once the workspace is deleted.

Each saved name starts with the file’s ID, so two files with the same name don’t overwrite each other. Folders aren’t recreated; every file lands in the one zyflow-files folder.

Export through the API

Send a GET request to /api/v1/export/ plus a file name, such as workspace.json or contacts.csv, with an API key in the Authorization header. Any key for the workspace can export, read-only keys included.

File names it accepts: contacts.csv, companies.csv, deals.csv, tasks.csv, activities.csv, memories.csv and workspace.json.

  • Each key exports only the workspace it belongs to.
  • The server names files like zyflow-{workspace}-{date}.json or zyflow-{workspace}-contacts-{date}.csv, dated in the workspace’s time zone.
  • Short burst limits stop runaway scripts. If you get a 429, wait and try again.

Keep keys on a server

A read-only key can’t change a record, but it can export every one of them, so guard each key as you would the export file itself. Keys never expire on their own, and any member can create one. Keep keys on a server, never in browser code, and revoke unused ones on the Connect page. The security page lists this under its known gaps.

Export works on every plan, any time

Free gets the same export as every paid plan, and reaching a plan limit doesn’t block it. You don’t need to ask us, and there’s no upgrade to pay before you can leave.

Deleting a workspace or your account

Deleting a workspace is immediate and permanent. Only the owner can do it, by typing the workspace’s name. Every record, file and document goes with it, and every AI app is disconnected. There’s no grace period, so export first and download any files you want to keep.

In Settings > General, find “Delete this workspace”. Click “Delete workspace”, type the workspace’s name, then click “Delete forever”.

Before you delete

  1. Bring back anything in the trash you want to keep: undo the delete in History, or restore files from Trash on the Files page.

  2. Download workspace.json and the CSVs you need.

  3. Download your files (see “How to get your files out”).

  4. Check that the downloads open.

  5. Delete the workspace.

Deleting your account (Settings > Profile > “Delete your account”, then type DELETE) removes you and every workspace where you’re the only member. Make someone else the owner of shared workspaces first, in Settings > Team.

Export questions

Can I export my data on the Free plan?

Yes. Export works the same on every plan, including Free, and you don’t need to upgrade first.

Does the export include my files and PDFs?

Not their contents. Every file, including invoice and quote PDFs, is listed with a download link. Download them from the Files page or fetch the links with an API key. There’s no zip download yet.

Is my change history included?

Yes, in workspace.json: before and after values and the person or AI app behind each change, up to 100,000 changes, as far back as your plan keeps history.

Who can export a workspace?

Anyone in it (owner, admin or member) and any of its API keys, read-only keys included. Every member, and every member’s AI, can see and edit every customer. There are no per-person permissions yet.

Can I move my data to another CRM?

Most CRMs import CSV, so start with contacts.csv and companies.csv. You may need to split cells that hold several emails or phones.

Can I schedule automatic exports?

Not in Zyflow yet. Run the export when you want a copy, or call the export endpoint on a schedule from your own script.

Can my AI app export my data for me?

Not through its Zyflow connection. AI apps have no export tool, and the export endpoint accepts API keys only. Use Settings or an API key.
