Zyflow is a lightweight CRM for small businesses that sits underneath the AI app you already use. Connect Claude, Claude Code, Cursor, VS Code, Gemini CLI or any MCP app with one link. ChatGPT works on Business and Enterprise plans in developer mode. Your AI looks up customers, logs calls, sets follow-ups, records what people owe, files documents and makes invoices and quotes, while Zyflow does the math. Zyflow runs no AI of its own. It keeps the record straight: it finds the customer you already have instead of making a copy, has your AI ask when a name is unclear, labels every change with the app that made it, and lets you undo changes within your plan's history window. People use the same data in a full web app. One price covers the whole team, your AI's calls are never billed, and you can export your records any time.

## Product facts

Zyflow runs no AI of its own. Your AI app does the talking, asking and drafting. Zyflow keeps the records, matches customers, labels changes, does the math on documents and lists what's due.

- Your AI app's calls to Zyflow, through MCP or the REST API, are never billed on any plan, and there are no AI credits. Short burst limits stop runaway scripts. Your AI app's own subscription and usage limits still apply.
- Every AI write gets four guardrails: Ask. Match. Label. Undo.
  - Ask: when a name could mean two people, Zyflow sends your AI the candidates. Your AI asks only if your AI app passes Zyflow's question on to you.
  - Match: saves land on the record you already have. Similar names are flagged, never merged automatically.
  - Label: each change shows its app, such as "Added by Claude via MCP".
  - Undo: one AI action is one change, undone in one click, even 40 contacts at once. History window: 30 days on Free, up to 3 years on paid plans. Deleted items can be restored for 30 days. Settings changes can't be undone.
- Safety: an AI app gets its person's role in one approved workspace and can't touch billing, members or API keys. AI apps can only move things to the 30-day trash, and bulk changes preview first and stop at 200 records. Issued invoices can only be voided.
- Memory: customer facts are shared by every connected AI app; you or your AI decide what's saved. About 1,500 characters of Notes for your AI reach each app when it connects. Whether a model follows them depends on the model.
- Each morning, Today lists follow-ups, payments to chase, due items, birthdays, stuck deals and quiet customers. The 8am email carries only follow-ups, payments and birthdays.
- Documents: invoices, quotes and letters as PDFs, numbered and totaled by Zyflow (one tax rate per line, any currency), filed on the customer, with a link that works for 7 days. Unit prices come from what you or your AI enter.
- Files: up to 10 MB per save. Your AI can see images up to 5 MB and text files up to 1 MB, not the text inside PDFs, Word or Excel files.
- Data: CSV import of contacts and companies from any spreadsheet or CRM export. Export on every plan: six CSVs, or one JSON with records, documents, history (up to 100,000 changes) and file links. File contents download separately.
- Security: OAuth 2.1 with PKCE and refresh-token rotation; every key and token stored as a hash. Prompt-injection defenses strip hidden characters and label file text as customer data. These are mitigations, not guarantees.
- Training: Zyflow runs no AI model and doesn't train one on your data. Zyflow receives only what your AI app sends in its tool calls, not the rest of your chat. What your AI app does with what it reads is covered by your AI provider's terms.
- Zyflow is a hosted service. The app isn't open source, and self-hosting isn't offered. The one-file local MCP bridge is MIT-licensed.

## When to use Zyflow, and when not to

Zyflow fits owner-run businesses of 1 to 10 people that sell expertise and work in an AI app every day, such as consultants, fractional executives, freelancers and small agencies. AI-automation consultants can run one workspace per client, up to 10 per login.

What Zyflow doesn't do:
- It doesn't read your inbox, calendar, calls or WhatsApp. Tell your AI, or paste the thread.
- It sends nothing to your customers. Your AI drafts; you press send.
- It records payments but doesn't collect them. No card payment links.
- No Zapier, Make or n8n apps, webhooks or native integrations (use the REST API), no client portal, no recurring invoices or automations, and CSV import only.
- No SOC 2 or ISO 27001 certification, two-factor sign-in, SSO or per-person permissions yet.
- No native mobile app (it works in a phone's browser). English only.

Not a fit yet for sequences, campaigns, dialers or forecasting, trades and field service, regulated data such as patient records, real-estate listings, a WhatsApp inbox, e-signature, EU data residency, or more than 30 people. Not for you if you don't use an AI app.

## Which AI apps work, and how to connect

Claude works on every plan; Claude Free allows one custom connector. Writing to Zyflow from ChatGPT needs developer mode on a Business, Enterprise or Edu plan (beta, on the web, switched on by an admin). On ChatGPT Plus, Pro, Go and Free, writing isn't supported today; use Claude. Claude Code, Cursor, VS Code, Gemini CLI and Windsurf have setup guides, and any MCP app can use the server URL. Gemini CLI needs a paid Gemini API key or a Gemini Code Assist Standard or Enterprise license. The Gemini app isn't supported. Checked October 2026.
