Three ways CRMs charge for people
CRMs charge for people in one of three ways. Per-user pricing multiplies one seat price by everyone who signs in. Flat pricing charges one price for the whole team, usually up to a set number of people. Unlimited-seat plans drop the seat fee and bill for something else: AI credits, records, apps or AI agents.

Most small teams start on per-seat pricing. A free plan covers 1 to 3 people, then every new person adds a seat to the bill. The other two models remove that per-person step, and each puts the limit somewhere else. When you compare plans, ask what makes the bill grow.
A fourth route is a self-hosted open-source CRM, such as Twenty’s open-source core, SuiteCRM or Krayin, which charges no per-user fee for the software. You pay instead for the server, the updates and the time to run them. Zyflow is a hosted service and isn’t open source.
Which CRMs offer unlimited users, and what do they meter instead?
As of October 2026, Clarify, Odoo, Day AI, Attio and Twenty say “unlimited” or “no per-seat fees” on their pricing pages. Three of them charge no seat fee: Clarify meters AI credits and records, Odoo’s One App Free plan covers one app, and Day AI charges per AI agent. On Attio Pro and Twenty, “unlimited” means no cap on seats, and every seat is still billed. Before you pick a CRM with unlimited users because it looks free or flat, find the meter.

Free plans that cap people
Most free CRM plans cap people as well as records. People caps on free plans, checked October 2026:
- HubSpot Free: 2 users
- Zoho CRM Free: 3 users
- Attio Free: 3 seats
- Flowlu Free: 2 users
- Bigin Free: 1 user
- EngageBay Free: up to 15 members, with 250 contacts
- Zyflow Free: 1 person
If you need a free CRM with unlimited users today, Clarify Free is the clearest fit, as long as 1,000 AI credits a month and 20,000 records cover your work. Odoo’s One App Free plan is the other choice, if CRM is the only Odoo app you’ll use.
Per-user vs flat pricing: what a team pays at 1 to 30 people
At 1 to 3 people, per-user pricing can cost nothing: Attio and Zoho CRM are free for up to 3 people, and HubSpot for up to 2. Past that, every hire adds a seat. At 10 people, the per-seat entry plans we checked cost $70 to $350 a month on annual billing, while the people-band and unlimited-seat plans cost $0 to $99.
Software that costs more every time you add a person quietly discourages you from growing.

Where others cost less
- At 1 to 3 people, several CRMs cost nothing: HubSpot Free (2 users), Attio and Zoho CRM (3 each), and Clarify Free and Odoo One App Free at any size. Zyflow Free covers 1 person, and for one person Twenty Pro ($9) costs less than Solo ($10).
- From 4 to 10 people, Team ($25 billed yearly, $30 monthly) costs less than every per-seat entry plan here. Bigin and HubSpot’s new-customer Starter price are closest, at $28 for 4 people. Clarify Free and Odoo One App Free still cost $0, with credits or a one-app limit.
- At 30 people, Clarify Starter ($40) and Odoo One App Free ($0) cost less than Zyflow Pro ($75). Bitrix24 Standard is $99.
- Compare annual with annual, and monthly with monthly.
A flat-fee CRM isn’t always cheaper. Run the math for the team you expect to have next year, as well as the one you have today.

Are there CRMs with unlimited contacts?
Rarely. Most CRMs cap contacts or records, at least on their free plans. Here are the free-plan caps we checked in October 2026:
- HubSpot Free: 1,000 contacts, plus 1 million other records
- Zoho CRM Free: 5,000 records
- Attio Free: 50,000 records
- Clarify Free: 20,000 records
- Bigin Free: 500 records
- EngageBay Free: 250 contacts
Zyflow caps records too. Free holds 5,000 contacts, companies and deals, Solo 10,000, Team 50,000 and Pro 250,000. Notes, calls, memories, follow-ups, files, invoices and quotes don’t count toward records, so logging calls and filing documents doesn’t use them up. See every limit, by plan.
Where Zyflow fits: one price for the team, not unlimited users
Zyflow doesn’t offer unlimited users. Each plan covers a set number of people, at one price for the whole team, and your AI’s calls are never billed.
Free for one person. Solo covers up to 3 people for $12 a month ($10 billed yearly), Team up to 10 for $30 ($25 billed yearly) and Pro up to 30 for $90 ($75 billed yearly). One price for the whole team, and your AI’s calls are never billed. Prices don’t include VAT, GST or sales tax where it applies.
Above 30 people, contact us. Zyflow probably isn’t a fit yet at that size, because it has no SSO, two-factor sign-in or per-person permissions.
Everyone who can sign in counts as a person, including pending invitations. AI apps, API keys and AI agents never count as people, so connecting another AI app never changes your plan.

How to choose a CRM pricing model for your team
Choose on what the bill will be after your next hire. Count the people, find the meter, add the one-time costs and check the exit.

Count everyone who signs in, plus pending invitations. Then price the 4th and the 11th person too.

Read what “unlimited” means on the page: no cap on seats, or no fee per seat?

Find the meter: AI credits, records, apps, AI agents or storage.

If you already pay for Claude or ChatGPT, check whether the CRM sells its own AI by the credit, and whether it bills your AI’s calls.

Add the one-time costs: onboarding fees, seat minimums and contracts.

Check the controls you need at your size: SSO, two-factor sign-in and permissions.
As a rule of thumb, at 1 to 3 people a free plan is often enough (HubSpot for 2, Attio and Zoho CRM for 3), so choose on what’s included. At 4 to 30, compare one team price against the seat price times your people, monthly with monthly. A team of more than 30 with sales reps is better served by a per-seat sales CRM with SSO.

Questions about unlimited users and flat pricing
Is HubSpot free for unlimited users?
No. As of October 2026, HubSpot’s free CRM is “Free for up to 2 users,” with 1,000 contacts. Paid Sales Hub plans are priced per seat (Starter is from $7 a seat billed yearly for new customers, or $20 billed monthly), though view-only seats come at no extra cost. HubSpot Free is a fair deal for two people.
Is there a free CRM with unlimited users?
Yes, with a meter somewhere else. As of October 2026, Clarify’s Free plan includes unlimited seats with 1,000 AI credits a month and 20,000 records. Odoo’s One App Free plan covers unlimited users if CRM is your only app. Most free plans cap people: HubSpot at 2, Attio and Zoho CRM at 3.
What does “unlimited users” mean on a CRM pricing page?
Usually one of two things. Either you can buy as many seats as you like and each one is billed, or there’s no seat fee and something else is metered, such as AI credits, AI agents or apps.
Is flat pricing cheaper than per-user pricing?
It depends on team size. At 1 to 3 people, several per-seat CRMs are free. From about 4 people, one team price usually costs less: 10 seats of Pipedrive Lite are $140 a month billed yearly, against $25 for Zyflow Team.
Do AI apps or AI agents count as users?
It depends on the CRM. Day AI prices per AI agent, and Attio gives each paid seat its own AI credits. In Zyflow, AI apps, API keys and AI agents never count as people; people who can sign in do, including pending invitations.
